Main purpose: Provide support to the company operation, maintain and create procedures, manage vendors and ensure the safety of staff as well as the Bank's assets. You will help to optimize operational efficiency and help create a pleasant work environment. Areas of result & main activities: o Facility Management: Manage the preventive maintenance in the Bank's premises, organize budget application together with the Head of Department Organize and supervise the curative maintenance when needed Ensure office equipment are in good working order, organize repairs when possible or order new ones when required Arrange work spaces to follow the growth of the organization Coordinate pick up, delivery and destruction of physical archives Manage the parking spaces Compute data for the CSRD reporting in relation to General Administration activities Coordinate with all providers of the Bank in regards to the General Administration activities, monitor the services and renegotiate agreements Coordinate the Luxtrust token order o Health & Safety: Check and maintain fire safety equipment Coordinate the evacuation plans, staff lists and exercises together with the Designated Worker Review the BCP and propose improvements from a General Administration side Manage the physical access of the premises (access card activation/deactivation, daily tour of the office, monthly review of the accesses…) Training of new joiners o Travel Management: Assist the Bank's employees in getting travel expenses pre-approved, Organize the various booking of flight-train tickets, hotels … Organize reporting o Vendor Management: Maintain the Bank's provider' list Organize call for tenders Coordinate new provider onboarding with the assistance of the Legal Department for the contractual part Monitor contract renegotiation timeline Invoice Management (reception, tracking, dispatch, signature…) Produce the Bank's invoices Technical Competencies 5 to 10 years of experience in a similar environment Good knowledge of safety regulations Appetite for contact with vendors and negotiation Good knowledge of Excel and Word
